Dynode was hired as Software Development Company in Patna in Bihar about seven
years ago. One of his first responsibilities was to install and implement the
Pharmaceutical software package. During this process, it discovered the software
was not adequate for Pharma's requirements, and started the process of searching
for and planning the implementation of a new software package name is PMSTM.
This carefully planned process took about a year from initial steps of the
search to alive system; but today, PMS is working with a user-friendly, fully
integrated software system that helps facilitate the company's objectives.
Dynode expects to see a big benefit in the scheduling portion of the system,
which will look at the company's actual capacity versus load, and point out
bottlenecks and resource constraints. "This will help plan our resources for the
Stock Inventory and help meet customer demands as well".
Dynode employs about 100 people and combines advanced technical
and manufacturing techniques in the design . Dynode explained that lead-time is
important in dealing with the Pharma business and the company's new software
will be an asset in meeting customer requirements and delivery schedules.
To gain company-wide input, Dynode created an
Implementation Team made up of representatives from each of the company's
functional areas (customer service, manufacturing group, planning group,
inventory control, accounting and finance, Transport Management Software, and
human resources). Dynode said the team looked at their business to find answers
to the question: "What do we need in a software package to suit what we do as a
business?" They said, "You have to spend time thinking about how you want the
system structured to meet your current and future needs."
Through
the assessment process, Dynode narrowed the field to companies representing
different software packages. Dynode invited each of those companies to their
Branford facility to conduct a one- to two-day in-depth demonstration for the
cross-functional Implementation Team. Dynode noted that an important step was to
make an outline of what was important for their company to see in a demo, so as
not to waste time on areas that did not apply to Dynode's needs. They sent that
outline to the companies ahead of time and asked them to tailor their demos to
include those priority points. Dynode cautioned that during a demonstration when
the salesperson answers "yes" to whether the system can perform a particular
task, it's important to say, "show me," and observe what it actually takes to
get that task done. I agreed that companies should ask the tough questions and
make sure they understand whether a software system will actually be able to
accomplish the tasks they need. He cautioned that the process of accomplishing
the task could be too involved to be effective or, in the end analysis, may not
be feasible at all with a particular system.
Flow Chart Before Implementing
Dynode
explained that it is important to analyse how your business operates today, how
that compares to what you want it to do tomorrow and what you want a software
package to do for you. Members of the Implementation Team were assigned the task
of developing a flow chart of their respective business processes. Dynode
admitted that it would have been good to have the flow chart completed before
the search for the software began since flow-charting can reveal difficulties in
the work process. "Sometimes you go through a lot of different gyrations to
accomplish a task and don't even realize it. When asked why a specific action is
taking place, a common response is, 'this is the way it was always done.'
Sometimes people don't realize the extra steps they're going through and the
non-value added activity they're doing just to try to get their work
accomplished". The flow-charting proved some things needed to be done
differently and the software needed to support those changes. they said, "We
didn't want to just take the new system and replicate what we already had. We
wanted to look ahead and ask ourselves, 'How do we want this system to work for
us?'"
